AV POLICY - CHICAGO 2017
The following equipment will be standard in all panel/workshop rooms at the conference:
* LCD projector (and audio)
* VGA Cable (if you have a Mac, please make sure you bring an adapter-mini display
port to VGA, thunderbolt to VGA, etc)
* Mini Audio Jack
* Power strip
* Wireless internet access (you will obtain the password at conference registration)
Because the cost of equipping rooms with computers is prohibitively expensive, we
must ask you to bring your own laptop if you plan to use projection.
In addition to your own laptop, please be sure to bring your power cord and any
proprietary cords required for your computer. MAC users, please bring your own VGA
Adapter. Wireless internet access will be provided in the panel/workshop rooms and
conference space. We will not be offering computers, DVD players, overhead projectors,
slide projectors, CD players and/or additional audio components. If you have questions
about AV or the Society's audiovisual policy, please contact our Conference Manager.
Best Practices
Panels and workshops with multiple presentations using projection are encouraged
to coordinate before their session time to have all presentations on a single computer
or flash drive. Designate one person's laptop for use during the session; load all
presentations onto the laptop before the session; and test the presentation to make
sure they will work with the software on the designated laptop. We cannot accommodate
changes or requests for AV equipment onsite. SCMS is not responsible for the safety
and security of attendee computers. Thank you for your cooperation.

EXECUTIVE DIRECTOR'S NOTE
Best wishes for the New Year!
The SCMS Board and Home Office staff are in full preparation mode as we inch our way ever closer to the 2017 Chicago Conference.
In the January issue of News Brief, I would like to point you in the direction of
Episode 34 of Aca-Media. It contains an interview with Conference Manager, Leslie LeMond, where she discusses the many considerations that go into site selection, planning, and execution for our annual conference. I hope you will tune in to gain greater insight into the balance that must be struck in bringing together so many moving pieces for this monumental task. It is no easy feat to provide the amenities we have come to expect at a price point we can manage. Leslie manages to do this year after year with amazing skill and good humor. In this issue, you will find helpful information on upcoming deadlines, along with a link to assist you in finding conference roommates, and information on travel discounts. I also strongly urge you to take the time to read the 2017 Audio/Visual Policy as it includes some new changes being introduced this year. In the next week, notifications will go out from the Home Office to all SIGs in response to your 2016-17 funding requests. We were happy to be able to accommodate requests from 29 individual SIGs for the maximum budget line item of $15,500 for a variety of uses included conference events, scholarships, student travel grants, and prizes.
One of the best ways of showing your support of and investment in SCMS is by casting your vote in our annual election. On February 1, the 2017 SCMS elections get underway, concluding on February 28. This year's slate will include candidates for five upcoming board vacancies: President-Elect, Treasurer, two Executive Board members, and a Graduate Student Representative. In the next couple of weeks you will be begin receiving emails containing biographies and candidate statements for this year's slate. They will also be posted at cmstudies.org for the month of February. I urge you to please take a look, and then cast your vote in the month of February.
Until next month, best of luck with the spring semester!
Jill Simpson

CLIR Invites Applications for Digitizing At-Risk Audio Materials
The Council on Library and Information Resources (CLIR) is now accepting applications
from collecting institutions for the digital reformatting of magnetic audio materials,
as part of the pilot phase of the Recordings at Risk grant program. Generously funded
by The Andrew W. Mellon Foundation, Recordings at Risk is focused on digitally reformatting
"at-risk" audio and audiovisual materials of high scholarly value.
In this pilot cycle, CLIR will award approximately $150,000 for the preservation
reformatting of magnetic audio media through the Northeast Document Conservation
Center's (NEDCC's) newly established audio preservation service. Grants of between
$5,000 and $25,000 will be awarded for projects of up to 12 months, to fall between
May 2017 and April 2018.
The application deadline for the pilot project is March 3, 2017. Awards will be
announced April 30, 2017.
Prospective applicants must obtain confirmation from NEDCC that their proposed audio
reformatting project merits NEDCC's "high-touch, high-quality" technical approach.
NEDCC will then work with applicants on a detailed quote and a letter of support,
which must be submitted with the application package to CLIR. CLIR and NEDCC will
hold an informational webinar for prospective applicants on January 12 at 2:00 pm
Eastern time.
Information for applicants, including a link to the online application form, is
available on CLIR's website at: https://www.clir.org/recordings-at-risk/
Subsequent calls will allow applicants to submit proposals nominating both audio
and audiovisual materials for preservation reformatting, in addition to selecting
the qualified digitization service provider of their choice.
News and future developments with the Recordings at Risk program will be available
through the program website and Twitter.
The Council on Library and Information Resources is an independent, nonprofit organization
that forges strategies to enhance research, teaching, and learning environments
in collaboration with libraries, cultural institutions, and communities of higher learning.
Founded in 1973, the nonprofit Northeast Document Conservation Center serves cultural
institutions and individuals nationwide, offering conservation treatment, digital
imaging, audio preservation, assessments and consultations, training programs, disaster
assistance, and free web resources.
